Job Description

The Account Administrator is responsible for maintaining accurate financial records and ensuring efficient office operations. This role requires a detail-oriented and proactive individual who can manage accounts receivable and payable, oversee data entry and bookkeeping, and support tax and audit processes while maintaining clear communication with clients and internal teams.

Job Requirements

Prepare and issue Quotation, Invoice, Debit Note, and Delivery Order promptly and monitor outstanding accounts.

Confirm incoming supplier invoices against purchase orders and delivery documentation and process payments.

Ensure accurate daily recording of all financial transactions in accounting software.

Manage petty cash fund, verify staff expense claims, and handle reimbursements.

Assist in preparing monthly bank reconciliation statements.

Help prepare documents for SST submissions, annual audits, and tax returns; coordinate with relevant professionals.

Organize and maintain a systematic filing system for accounting and administrative documents with confidentiality.

Oversee inventory of office supplies and pantry items; initiate procurement and coordinate maintenance and repairs.

Administer renewal timelines for company assets including road tax, insurance, and business licenses.

Manage incoming calls, emails, and postal communications; prepare formal letters, memos, and internal notices as requested.

Maintain accurate employee records and monitor staff attendance, annual leave, and medical leave.

Assist in the monthly payroll process by gathering attendance and claims information.
