The Chief of Staff will be responsible for managing the CEO's operating cadence, driving cross-functional execution, and transforming strategy into measurable outcomes. The role involves standardizing reporting, accelerating proposals, enhancing client follow-ups, and strengthening company culture through KPI gamification and events. The position requires fluency in English and Mandarin, strong analytical skills, proficiency in productivity software, familiarity with AI prompting, and a valid Malaysian driving license.
Design and run the leadership operating rhythm including agendas, materials, minutes, and action tracking for WBR/MBR/QBR.
Maintain the CEO's priority map and ensure follow-through across functions.
Prepare Board and investor packs including narrative, financial snapshots, risk updates, and decision items.
Turn strategic priorities into program plans with owners, timelines, KPIs, and risk logs.
Drive cross-functional initiatives such as pricing changes, partnerships, product launches, and process automation.
Track OKRs company-wide and coach owners on goal quality and accountability.
Standardize weekly and monthly reporting for Sales, Marketing, and HR.
Partner with Finance for forecast snapshots, budget versus actuals, and variance explanations.
Own data quality rules to ensure dashboards are credible and serve as a single source of truth.
Generate client proposals and executive presentations.
Create reusable proposal templates and content libraries to shorten cycle time.
Coordinate pre-sales assets with Sales and Marketing and maintain win/loss insights.
Work with HR on staff feedback mechanisms including pulse surveys, one-on-ones, and listening tours.
Gamify KPIs fairly with clear rules, transparent scoring, and rewards linked to business outcomes.
Plan events, incentives, and awards with budget and ROI tracking.
Draft or edit internal memos, townhall materials, and change-management communications.
Own the follow-up playbook including cadence, message templates, and SLAs.
Monitor CRM tasks, close loops, and escalate blockers with recommended next steps.
