The Human Resources Assistant provides administrative and operational support to the Human Resources function. This role ensures day-to-day HR processes run smoothly and comply with company policies and Malaysian labour laws, including activities related to recruitment, onboarding, employee records management, payroll coordination, and general HR administration.
Assist in posting job advertisements and coordinating interviews.
Screen resumes and schedule interviews with hiring managers.
Prepare offer letters, employment contracts, and onboarding documents.
Coordinate new hire onboarding, including document collection, system setup, and orientation schedules.
Maintain accurate and up-to-date employee personal files (physical and digital).
Update HR systems and trackers such as leave, attendance, and employee database.
Ensure confidentiality and proper handling of employee information.
Assist in preparing HR reports, letters, and internal communications.
Monitor attendance, leave applications, and overtime records.
Assist in monthly payroll preparation by compiling relevant data.
Coordinate with Finance for payroll processing and statutory submissions.
Address basic employee queries related to salary, leave, and attendance.
Assist in managing statutory matters documentation including EPF, SOCSO, EIS, PCB.
Ensure HR practices align with the Employment Act 1955 and company policies.
Support audits and inspections by preparing required HR documents.
Assist in handling employee queries, grievances, and basic disciplinary documentation.
Support HR processes such as probation confirmation, performance reviews, and PIP documentation.
Help coordinate training sessions, meetings, and internal HR initiatives.
Provide administrative support to the HR department as required.
Assist in drafting and updating HR SOPs, policies, and handbooks.
Support office administration tasks related to staff welfare and engagement activities.
Perform other HR-related duties as assigned by management.
